Who we are

ProfitPath AI is a profit planning platform operated by Kairos Ventures, a sole proprietorship based in Centerville, Massachusetts, USA. When this policy says "ProfitPath AI," "we," "our," or "us," it refers to Kairos Ventures and the ProfitPath AI platform.

What information we collect

Information you give us

When you create an account or use the platform, we may collect the following:

• Your name and email address
• Your business name and the kind of small business you run
• The business figures you enter into the profit simulator, such as revenue, pricing, job costs, and overhead
• Billing information, which is processed securely through our payment provider. We do not store full credit card numbers.
• Any messages you send us, including support requests

Information we collect automatically

When you use ProfitPath AI, some technical information is gathered on its own to help the platform run smoothly. This includes:

• Your IP address and approximate location, at the city or state level
• Your browser type and version
• Your device type and operating system
• The pages you visit and the features you use inside the platform
• How long your sessions last and general usage patterns

This information helps us understand how the platform is used so we can keep improving it. It is not linked to your business financial data.

QuickBooks Online integration (Pro tier)

If you choose to connect your QuickBooks Online account, ProfitPath retrieves your last 12 months of Profit & Loss data through Intuit's official QuickBooks Online API. We do not access your full books, individual transactions, or QuickBooks login credentials — only summarized P&L data.

To keep your reports and insights working reliably without repeated logins, we securely store: the encrypted connection credentials (OAuth tokens) that let ProfitPath stay connected to your QuickBooks account, your QuickBooks company identifier (realmId), the summarized P&L data used to generate your reports and recommendations, and timestamps of when your data was last synced.

If you disconnect QuickBooks or delete your account, these credentials are revoked and this data is deleted per our data retention policy below.

How we use your information

We use the information we collect to:

• Provide, run, and improve the ProfitPath AI platform
• Generate profit scenarios and helpful insights through Coach Rev
• Personalize your experience based on your business and your inputs
• Process payments and manage your subscription
• Send you product updates, feature announcements, and your weekly AI brief (Growth and Pro tiers)
• Respond to your support requests and help fix any issues
• Study overall usage patterns to improve the platform, using anonymized data for this purpose
• Meet our legal obligations

How we share your information

We do not sell, rent, or trade your personal information or business data to any third party. Ever.

We do share a limited amount of data with trusted service providers who help us run the platform, such as:

• Payment processors (for example, Stripe) for billing
• Cloud hosting providers (for example, AWS) for platform infrastructure
• Email delivery services for account and product messages
• Analytics providers for anonymized usage analysis
• AI providers (such as OpenAI) to generate Coach Rev insights and scenarios
• AI processing: We use a third-party AI language model provider (OpenAI) to generate the insights and recommendations Coach Rev provides. Your summarized financial data is sent to this provider to generate your reports. Per OpenAI's business/API data policy, this data is not used to train their models and is retained by them for up to 30 days for safety and abuse-monitoring purposes before being deleted.

These providers are contractually required to use your data only to perform services for us, and they are not allowed to use it for anything else.

We may also share information if the law requires it, if we receive a valid court order, or if it is needed to protect the rights and safety of our users or the public.

How we protect your data

We take the security of your data seriously and use the following measures to help keep it safe:

• All data sent to and from ProfitPath AI is encrypted using TLS (Transport Layer Security)
• Business financial inputs are stored in encrypted databases
• Access to user data is limited to authorized personnel only
• We review our security practices on a regular basis

How long we keep your data

While your account is active

We retain your account information, connected QuickBooks credentials, and summarized financial data for as long as your account remains active, so your reports and insights stay available to you.

When you cancel or request deletion

You may request deletion of your account and data at any time by emailing us at [email protected]. Upon request, we will: revoke and delete any stored QuickBooks connection credentials, delete your summarized financial data and account information from our active systems, and complete this process within 30 days.

Backups

Deleted data may persist in encrypted backups for up to 60 days after deletion from our active systems, for disaster-recovery purposes only. Backup copies are not used to power the app and are purged on the schedule above.

Your rights

Depending on where you live, you may have the following rights over your personal data:

• Access. Ask for a copy of the personal data we hold about you.
• Correction. Ask us to fix data that is wrong or incomplete.
• Deletion. Ask us to delete your personal data.
• Portability. Ask for your data in a structured, machine readable format.
• Opt out of marketing. Unsubscribe from non essential messages at any time using the link in any email.

To use any of these rights, just email us at [email protected]. We will respond within 30 days.

Cookies and tracking

ProfitPath AI uses cookies and similar technologies to:

• Keep you logged in to your account
• Remember your preferences
• Understand how the platform is used

We use only functional and analytics cookies. We do not use advertising or tracking cookies. You can turn cookies off in your browser settings, though some features may not work correctly without them.

Children's privacy

ProfitPath AI is built for business owners and professionals. We do not knowingly collect personal information from anyone under the age of 18. If we learn that a minor has shared personal information with us, we will delete it promptly.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page, and we will email you if the changes are important. By continuing to use ProfitPath AI after an update, you accept the revised policy.
